Job Description

Our Client is looking for a dynamic Office Manager to join their talented team in Malaga Spain. The role will be responsible for the day-to-day administration and operation of the office. The office manager will support in setting up a new office in Malaga and build an office and team spirit, working independently at times while collaborating with Malaga-based staff and other office management team members in other locations.

Duties

  • Being the first person of contact in the office.
  • Welcome visitors, dispatch phone calls, and manage incoming and outgoing posts.
  • Act as the primary contact person for the landlord, and the subtenants if applicable
  • Liaise with building management and external providers to ensure the upkeep of the office
  • Support the Spain-based staff and visitors.
  • Organize office celebrations and events
  • Support organizing major organizational events taking place in Madrid.
  • Update and communicate office policies/support creating and circulating new policies.
  • Onboarding of new starters
  • Understand and be able to help with IT systems
  • Overview meetings organized in the office (order catering when requested)
  • Support office contract renewal with the Head office Manager and Legal Advisor
  • In charge of office Health & Safety – risk assessments, circulation of policies, organizing first aid and fire marshal training for staff
  • As part of the Office Management & HR team support and contribute to other potential projects

Required experience/skills

  • You have 3-5 years of relevant experience in an administrative function;
  • You consider yourself a completer/finisher and have strong attention to detail.
  • You are proactive and enthusiastic.
  • You have strong problem-solving skills with a positive, can-do attitude.
  • You enjoy juggling various tasks and you are able to prioritize effectively.
  • You enjoy working with numbers.
  • You can work as part of a team, to foster fruitful, and collaboration with stakeholders internally and externally.
  • You have excellent written and verbal communication skills in English and Spanish.
  • Languages:  English + European Languages (Spanish/Portuguese)
